PhotonJobs ("we", "us", "our") is a photonics learning platform operated on behalf of PhotonDelta. This policy explains what personal data we collect, why we collect it, how we use cookies and similar technologies, and what rights you have under the General Data Protection Regulation (GDPR) and other applicable privacy laws.

Who is responsible for your data?

PhotonJobs is the data controller for personal data processed through this website. For authentication, we use Clerk (Clerk, Inc.). For analytics, we use PostHog (PostHog, Inc., hosted in the EU).

What data we collect

Account data (Clerk)

When you create an account, Clerk processes:

  • Your email address (used to sign in)
  • A unique user ID
  • Session information needed to keep you signed in
  • Learning progress (SCORM course completion and scores), stored in your account metadata

We do not ask for your name, phone number, or other profile details beyond what you provide via email sign-in.

Analytics data (PostHog)

We use PostHog to understand how the platform is used and to improve our learning content. We configure PostHog as follows:

  • Cookieless mode — PostHog does not set analytics cookies or use local storage for tracking. Page views and events are sent without persistent browser identifiers.

  • EU data residency — Analytics data is processed on PostHog's EU infrastructure.

  • Minimal identification — When signed in, we link events to your Clerk user ID. We send your email domain (e.g. ) as a company hint for aggregate reporting. We never send your full email address, name, or other direct identifiers to PostHog.

Events we capture include page views, learning module starts, resumes, and completions.

Technical data

Our hosting provider (Cloudflare) may process standard server logs (IP address, request time, browser type) to deliver the site securely. These logs are retained only as long as needed for security and operations.

Legal basis for processing (GDPR)

  • Providing your account and learning progress — Contract: necessary to deliver the service you signed up for
  • Analytics to improve the platform — Legitimate interest: understanding usage in a privacy-preserving, cookieless way
  • Security and fraud prevention — Legitimate interest: protecting the platform and its users

Where we rely on legitimate interest, you have the right to object (see Your rights below).

Cookies and similar technologies

Cookies we use

  • Session / authentication cookies (Clerk) — keep you signed in securely. Duration: session or as set by Clerk.

Clerk's cookies are strictly necessary for the authentication features of the site. Without them, you cannot stay logged in.

What we do not use

  • No analytics cookies — PostHog runs in cookieless mode and does not place tracking cookies.
  • No advertising or third-party marketing cookies
  • No social media tracking pixels

You can manage or block cookies through your browser settings. Blocking Clerk cookies will prevent you from staying signed in.

How long we keep your data

  • Account and learning progress — retained while your account is active. Deleted when you delete your account.
  • Server logs — retained for a limited period for security, then rotated or deleted.

Your rights

Under the GDPR, you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate data
  • Erase your data ("right to be forgotten")
  • Restrict processing in certain circumstances
  • Object to processing based on legitimate interest
  • Data portability — receive your data in a structured, machine-readable format
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with your local data protection authority

To exercise any of these rights, email privacy@photonjobs.com. We will respond within one month.

Deleting your account

You can delete your account at any time:

  1. Open your account menu (top right) while signed in
  2. Choose Manage account and follow Clerk's steps to delete your account

When your account is deleted:

  • Your email, user ID, and learning progress are permanently removed from Clerk
  • We do not retain copies of your personal data beyond what is required by law

If you cannot access your account, contact privacy@photonjobs.com and we will process your deletion request manually.

International transfers

Clerk is based in the United States. Data transfers to Clerk are protected by appropriate safeguards (such as Standard Contractual Clauses). PostHog analytics data is stored in the European Union.

Children

PhotonJobs is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Significant changes will be communicated on the site. Continued use after changes constitutes acceptance of the updated policy.
